Case Manager / Data Coordinator
Position Overview
The Case Manager/Data Coordinator is responsible for overseeing student case management, data entry and compliance, and recruitment pipeline tracking, while supporting student progression into career pathways and postsecondary outcomes.
This role serves as the primary owner of student data systems and records, ensuring accuracy across federal, state, and local reporting platforms, including alignment with BISD-related documentation and requirements where applicable.
The Case Manager works in close partnership with the Pathways Success Manager to ensure students successfully transition from enrollment to credential attainment, employment, and postsecondary placement.

Case Manager / Data Coordinator
Position Overview
The Case Manager/Data Coordinator is responsible for overseeing student case management, data entry and compliance, and recruitment pipeline tracking, while supporting student progression into career pathways and postsecondary outcomes.
This role serves as the primary owner of student data systems and records, ensuring accuracy across federal, state, and local reporting platforms, including alignment with BISD-related documentation and requirements where applicable.
The Case Manager works in close partnership with the Pathways Success Manager to ensure students successfully transition from enrollment to credential attainment, employment, and postsecondary placement.
Key Responsibilities
1. Case Management & Student Support
- Provide comprehensive case management, including: o Intake, eligibility verification, and enrollment
- Individual Service Strategy (ISS) development, Individual Education Plan (IEP) and tracking
- Ongoing monitoring of attendance, academic progress, and barriers • Support students in overcoming barriers such as:
- Transportation
- Childcare
- Employment readiness
- Social-emotional needs
- Maintain consistent communication with students and families • Coordinate referrals to internal and external services
- Coordinates weekly/biweekly home visits
- Coordinates Alumni Success by organizing Alum Nights, conducting follow-ups to support continued engagement and progress
2. Data Entry, Compliance & Reporting
- Serve as the primary manager of all student data systems, including: o Federal (DOL YouthBuild reporting systems)
- State (DOL/TEA-related systems, TEFA, as applicable) o Local/internal trackers
- Ensure all data is:
- Accurate
- Timely
- Audit-ready
- Track and maintain key performance indicators, including:
- Enrollment and retention
- Attendance
- Credential attainment (GED, certifications)
- Placement and postsecondary outcomes
• Support grant reporting, audits, and monitoring visits (QPRs, performance reports)
3. Recruitment & Enrollment Pipeline
• Lead and support recruitment efforts, including:
- Community outreach and partner engagement
- Information sessions and open houses
- Manage the full recruitment pipeline:
- Inquiry → Application → Enrollment
- Track applicant progress and ensure completion of required documentation.
- Collaborate with staff to meet enrollment targets
4. Records Management (Digital & Physical)
• Maintain organized, compliant student files, including:
o Eligibility documentation
o Academic and attendance records
o Case notes and ISS documentation
• Manage both digital and physical files in coordination with the Operations Manager
• Ensure all records meet federal, state, and organizational compliance standards
5. Pathways & Placement Coordination
• Work in close partnership with the Pathways Success Manager to:
o Track student progress toward career pathways
o Monitor credential completion and work readiness milestones
o Support job placement and postsecondary transitions
• Ensure all placement and outcome data is accurately documented and reported
• Assist in tracking alumni outcomes and follow-up data
6. Cross-Functional Collaboration
• Collaborate with:
o Operations Manager (systems, compliance, records)
o Teachers (attendance, academic interventions)
o Pathways Success Manager (placement and outcomes)
o Leadership (data reporting and performance monitoring)
• Ensure all records meet federal, state, and organizational compliance standards

Qualifications
• Bachelor’s degree preferred (Social Work, Education, Public Administration, or related field)
• Experience in:
o Case management, workforce development, or education programs preferred
o Data entry and reporting systems required
• Strong organizational, documentation, and systems management skills
• Ability to manage multiple priorities and deadlines
• Experience working with opportunity youth preferred
